Job Title:  Customer Service/Title Assistant   

Reports To:  Title Team Leader

FLSA Status:  Non-Exempt

Department:  Title


Summary:  This position performs research and produces listing packages for external customers. The customer service representative searches public and private records to compile historical records, which assists Realtors in listing real estate. These tasks will represent approximately 50% of the Employees responsibilities; the other tasks for the other approximate 50% are as follows. Searches public and private records and indices to compile summaries and reports and also contributes to the production process to help produce commitments and policies. These tasks being split as business volumes warrants main responsibilities being Customer service filling down time with Policy Typing and Title support.


Essential Duties and Responsibilities include the following. Other duties may be assigned.


Perform searches on tax system (s) and Ultima.


Examine documents to determine the grantor, the grantee, and the legal description.


Draw and understand complex legal descriptions.


Communicate effectively with customers to ascertain what they need, either by phone, in person, or e-mail.


Maintain and organize all new subdivision plats, surveys, and subdivision covenant files.


Maintain a spreadsheet of all customer requests.


Assist with order entry as time permits.


Attend marketing functions from time to time.


Secondary Duties and Responsibilities include the following. Other duties may be assigned.


Performs searches on county tax computer and Ultima and creates chain sheets for properties.  Does copy-pulling of relevant documents.


Performs customer service requests and produces lot-book guarantees.  Keeps accurate records of these requests and guarantees.  Produces reports for both.


Records original documents at the county.  Copies recorded documents for file so that title officers may perform policy write-ups.


Performs inspections on commercial properties, “high-liability” properties and properties with new construction.


Types commitments and insurance policies.  Performs “put-togethers” on these products.


Maintain policy register and produce necessary reports for underwriters.


Tracks policies, commitments, files and other title supplies and orders new supplies when necessary.


Mails commitments and policies.


Tracks new plats and updates CC&R files with new subdivision, CC&Rs, etc.

High school diploma or general education degree; or one to three months related experience and/or training; or equivalent combination of education and experience.


Ability to read, analyze, and interpret the most complex documents.  Ability to respond to common inquiries or complaints from customers, regulatory agencies, or members of the business community.  Ability to effectively present information to top management and co-workers.


Ability to work with mathematical concepts such as probability and statistical inference and to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.


Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.


Ability to solve practical problems and deal with a variety of concrete variables.  Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


Proficient use of Ultima, Canyon County Tax System, Word processing, Spreadsheets, Internet software, E-mail, Order processing, windows, micro-film real machines and fax machines.
